Overview

Balancing is reconciling our Closing Disclosure against the title company's until the two match to the penny. It's the most iterative work in closing — expect several rounds — and it ends with the final CD going to the borrower.

This workflow is UWM-specific. Emily closes our UWM files using UWM's UClose portal. On non-UWM lenders — Kind Lending, PennyMac, Loan Store — the lender has its own closer who handles balancing and funding. Those files aren't Emily's. If you're looking at a non-UWM file, the lender's closer owns this stage.

Kicking off balancing

Emily downloads the current CD on file — the same one the borrower received to start the three-day clock — and emails it to the title company representative to begin balancing.

What goes in that email:

  • The current Closing Disclosure
  • The processing invoice
  • The homeowners insurance policy
  • Broker wire instructions
  • Any relevant notes on the file as a whole

Then move on to another file. Balancing is asynchronous — there's nothing to do until title responds with their version.

The balancing loop

Title emails back with their closing disclosure. From there it's a cycle:

  1. Open title's PDF and compare against what you sent — line by line.
  2. Make the changes in UClose to move our numbers toward title's. Re-save the fees.
  3. Regenerate the CD, download it, and review.
  4. It probably still won't balance. Send the updated CD back to title: "We don't balance — here's my updated CD. Take a look and let me know if you can pinpoint where we're off."
  5. Repeat.

Three or four rounds is normal — this is not a sign something is wrong. New closers often assume a file that won't balance on the second pass has a real problem. It usually doesn't. Fees get categorized differently, credits land in different places, and it takes a few passes to converge. Keep the loop tight and the tone collaborative; title is trying to get to the same place you are.

Balanced — then LO approval, before the borrower

Once Emily and the title rep both confirm the file balances, Emily generates the full final closing package.

Before it goes to the borrower, confirm it with the LO. The LO knows things about the file that may not be documented — a credit they promised up front, a fee arrangement discussed on the phone, something the borrower is expecting. Emily can't see those. A two-minute check with the LO catches the discrepancy before the borrower sees a number that doesn't match what they were told.

If the LO flags changes:

  1. Emily makes the changes in UClose
  2. Re-downloads the CD PDF
  3. Resends to title to confirm the file is still in balance — any change can break balance
  4. Title confirms balance
  5. Then the final CD goes to the borrower

Sending the final CD

To the borrower, CC the realtor:

Wire fraud: tell the borrower to verify by phone. Title sends wire instructions directly to the borrower — we don't. That's exactly the gap criminals exploit: a spoofed email with altered wire instructions, arriving at the moment the borrower expects one, for the amount they're expecting. Tell every borrower plainly: call the title company at a number you already have — not one from the email — and verbally confirm the wire instructions before sending a dollar. Wired funds sent to a fraudulent account are effectively unrecoverable.

Update the Arive milestone to DOCS OUT — every time, without exception. This is required, not optional, and it is currently the most frequently missed step in closing. Reporting, pipeline visibility, and downstream automation all key off it. A file that closed but never had its milestone advanced is invisible to every system that depends on Arive.

Who to ask if you're stuck

A file that won't balance after several rounds: Bryce.
A fee or credit you can't account for: the LO on the file.
UClose portal problems: the UWM account executive.
Whether a late change requires re-disclosure: Bryce.
