Every Arive milestone-triggered email the borrower receives — what fires it, who gets it, and exactly what it says.

What this page is

Arive fires automated emails to borrowers at loan milestone changes and certain tracker events. These are automatic — the status change sends the email. Nobody hits send.

This page is the complete catalog: every automated borrower email, what triggers it, who receives it, and its full content. Read the email for a milestone before you move a file into it — the borrower is about to receive it, so the file had better be right first.

Milestone changes are borrower-facing events. Flipping a status in Arive isn't internal bookkeeping — it sends mail to the borrower, their co-borrower, their agent, and others. Don't advance a milestone to tidy your pipeline view, and never advance one before the thing it announces is actually true.

Two known issues in the current templates — flagged for fixing:

1. Possible duplicate review request. The Google review ask is built into the Loan Funded email, which is the right place — the loan has actually funded. But a separate "Loan Closed – Congratulations!" review email has also been seen firing at Docs Signed, which is premature (the loan hasn't funded yet, and the subject line says "closed" when it hasn't). If both are active in Arive, borrowers get asked for a review twice. The Docs Signed review request should be retired; the review ask belongs only on Loan Funded.



2. "EaseDocs" is hardcoded in two emails. The Loan Setup and Disclosed emails both name EaseDocs as the e-sign system. EaseDocs is UWM-specific — every other lender uses a different one. A non-UWM borrower is told to watch for an EaseDocs email that never arrives. Until these are made lender-aware, tell non-UWM borrowers which e-sign system to actually expect.

1 · LOAN SETUP

Fires when: the file is moved to Loan Setup (typically once under contract).

To: Primary Borrower   Cc: Loan Officers, Co-Borrowers, Buyer's Real Estate Agents

Note: "EaseDocs" is hardcoded — correct only for UWM files. See the issues callout above.


2 · DISCLOSED

Fires when: loan status changes to Disclosed.

To: Primary Borrower   Cc: Loan Officers, Buyer's Real Estate Agents, Processors, Co-Borrowers

Subject: Loan Disclosures – [Subject Property Address] – [Borrower Last Name]

Note: this email introduces the processor by name to the borrower — consistent with Danielle staying behind the scenes on comms while the borrower still gets a name to expect. Also names Easedocs (UWM-specific).


3 · SUBMITTED TO UW

Fires when: loan status changes to Submitted to Underwriting.

To: Primary Borrower   Cc: Loan Officers, Co-Borrowers

Subject: Your Loan Has Been Submitted to Underwriting


4 · CLEAR TO CLOSE

Fires when: loan status changes to Clear to Close.

5 · DOCS SIGNED

Fires when: loan status changes to Docs Signed.

To: Primary Borrower   Cc: Loan Officers, Co-Borrowers

Subject: 🎉 Your Closing Documents Are Signed!

Note: this is the correct Docs Signed email — a "you signed, funding next" note with no review request. If a separate "Loan Closed – Congratulations!" review email is also firing at this milestone, it's a duplicate and should be retired (see issues callout).


6 · LOAN FUNDED

Fires when: loan status changes to Loan Funded.

To: Primary Borrower   Cc: Loan Officers, Co-Borrowers

Subject: 🎉 It's Official — Your Loan Has Funded!

This is the correct home for the Google review request — the loan has actually funded.


7 · APPRAISAL ORDERED (tracker update)

Fires when: the appraisal is ordered — a tracker event, not a milestone status change. This is the one email in the set that isn't tied to a loan-status milestone.

Subject: Loan Order Status on [Subject Property Address]

The progress tracker pulls live milestone dates from Arive — which means it's only as accurate as the milestone updates. Files with skipped milestone flips will show blank or stale dates in this tracker.
